When you invite guest speakers for an event, the place brightens, and so do the faces of the audience. Institutions like schools, colleges and many organisations, when they have a function/event, a famous personality is invited to speak at the event.
You need to work on many things when planning to invite a guest speaker to your organisation or school. The guests will make the event unique and memorable. And if you make any mistake, your reputation is damaged, so is your organisation’s, probably.
What Makes a Good Speaker?
It is crucial to select the perfect speaker, or at least the best you can get. Also, there are some qualities you need to check if the personality you are inviting possesses, which are:
- Engaging the audiences
- Educating the audiences
- Reinforcing key event themes
- Providing actions and motivational takeaways
- Providing fresh insight & perspective on event-related topics
- Inspiring the audiences & drive positive change
- Entertaining the audience
- Attracting attendees
If you check these qualities in a speaker, you will have a great event, and the audience will love it. A speaker doesn’t need to be all of the things mentioned above, but they need to have at least 70% of the qualities.
Why Does the Event/Function Need a Guest Speaker?
The speaker you select should align with it and provide/contribute to the theme and purpose of the event appropriately.
Again, after checking the qualities mentioned above, you need to make sure the speaker has these two things to speak to the audience.
- Level of knowledge
- Relevance to the audience
The speaker’s level of knowledge you invite to the school/college/firm needs to be appropriate for the event and audience. A great speaker needs to have the apt knowledge to impart to the audience. And the audience will be happy to receive the knowledge and entertainment the speaker can provide.
Now, the speaker needs to sync with the audience and should be appropriate for the event or institution. It can be an actor, comedian, singer, politician, Govt official etc. The thing is that you can select a singer for an anniversary event but not at the budget session or something related to serious matters. You need a personality who can impart knowledge to the audience and they should feel that they got something from the speaker.
The Budget of the Event
The budget of the event is already fixed most of the time. As a coordinator or supervisor, you may have a say in the budget allocated to the guest speakers and the expenses related to that. In most cases, the guest speaker doesn’t ask for money or any other financial options in return. But, as a courtesy, you need to give him/her something.
It is not just the gifts or finance you give them; sometimes you need to arrange the transportation and accommodation. You either make accommodation at the institution or a nearby hotel. All these things require finance, and you have to manage all that. You need to invite a speaker according to the budget allocated and is relevant to the audience and occasion.
Following these methods will surely bring out the best outcome in your event, and the audience will love the guest you invited. The guest speaker will be an added advantage to the event/function if you choose them wisely.
